Managing collaborator access
You decide who can see each project and what they can do there. Access is invite-only: only members you add can comment, approve, or download.
Two ways to share a draft
| Link | Who it is for and what they can do |
|---|---|
| Team link | For project members. Members sign in and can comment, reply, approve, and download. Use it for anyone whose feedback or sign-off you need. |
| Public link | Made by marking a draft public. Anyone with the link can watch in the browser without an account, but cannot see or add comments and cannot download. Use it for people who only need to watch. |
Share a public link
- Open the draft and click Share.
- Switch on Make draft public.
- Copy the public link and send it by email, WhatsApp, Slack, or wherever the viewer already is.
PlanPublic share links are available on Creator Crew, Studio Crew, and Enterprise.
Take a public link back
- Reset the link to replace its URL. The old link stops working, which is useful if it was forwarded further than you meant.
- Turn public access off to stop anyone without membership from watching.
Roles
Members have a role, Owner, Editor, Reviewer, or Viewer, so each person gets the access their job needs. Owners run the project, editors upload and work through feedback, reviewers comment and approve, and viewers follow along.
PlanRoles and access control are basic on Free and Creator Crew, advanced on Studio Crew, and granular with custom roles on Enterprise.
